Qualifications/Eligibility
I noticed that a student is qualified for a scholarship, but not applied. What's the difference?
Students typically have a qualified status when they have matched to a scholarship's qualifications but they have yet to complete the Before Applying requirements (Additional Requirements tab). Once a student completes the Before Applying requirements, they will be applied to the scholarship.
Alternatively, students could have the Qualified status because the Auto Apply feature is not enabled. If enabled, qualified students will be automatically applied to scholarships or prompted to complete the Before Applying requirements. If the feature is disabled, students will have to manually click Apply next to each opportunity for which they're qualified. The Auto Apply feature settings are accessible from the Settings > Scholarships subtab.
Why isn't an applicant qualified for a particular scholarship?
You can check a student's eligibility status by going to the Users tab, locating the student's account, and then selecting the Scholarships subtab. Scholarship statuses will show on this page once the student has submitted their application. Students with the 'Not Qualified' status for a given scholarship did not match the qualifying responses configured in the scholarship's Qualification tab. You can click Expand on the right side of a scholarship row to see how the student matched on individual qualifications. The qualifications appear by qualification group and the qualification matching is indicated by the Match or No Match status.
Tip: Clicking on the scholarship name will take you directly to that scholarship in the Scholarships tab.
Why can't this applicant submit their application?
The applicant can submit their application once they have completed all sections of the general application. To identify which application section is incomplete, locate the student's account in the Users tab and view their application through impersonation. Application sections with the status 'In Progress' are partially complete, and sections without a status have not been started. You can click on the incomplete section(s) to identify which questions need to be answered before the application can be submitted.
Tip: One common reason students aren't able to submit their application(s) is that they have an incomplete external request (e.g., recommendation letters, etc.). This is most often the case when the external request must be completed for the student to submit their application(s). To modify this requirement, go to the Settings tab, select the External Requests tab, and select the specific external request from the dropdown. Next, you can expand the Request Details section and uncheck the box for 'Require response before request is considered complete'. Please click here for additional information.
The application deadline has passed, but I want to allow a student to make a change to their application or apply to a specific scholarship.
There are a few ways applications can be adjusted after the application deadline:
- The application deadline can be temporarily extended while applicants apply. The application deadline can be extended globally for all scholarships or individually for specific scholarships.
- The applicant can be manually applied to scholarships by going to the Users tab, locating a student account, going to the Scholarships subtab, and clicking 'Apply' for the specific scholarships. This method does not require the application deadline to be extended and does not require applicant involvement.
- As an administrator, you can impersonate the student, make the necessary changes to their application and submit it on their behalf. Using this method, the student's application will be matched to scholarships even though the deadline has passed. This method does not require the application deadline to be extended and does not require applicant involvement.
How can I view a student's response to a scholarship-specific question (i.e. additional requirement)?
Additional requirement responses can be viewed from several pages. You can view Before Applying responses by clicking on an applicant's name in the Scholarships tab > Award & Deny tab (by clicking on the applicant's name) or by going to the Users > Application subtab. If the application period is open, you can also view or modify Before Applying responses by impersonating a student, clicking on the Scholarships tab, and clicking on a specific scholarship. You can view After Awarding responses from the Scholarships tab > Award & Deny tab, the Users > Application subtab, or the Follow-Ups tab.
Post Award Communication
Why is a follow-up item closed?
Follow-up items can be closed in the following ways: - Clicking Award or Deny on a follow-up item (via the Follow-Ups tab) - Changing the applicant's award decision (i.e. "un-awarding") once the scholarship is published (via the Award & Deny tab) - Clicking the 'Hide Award Status' button in the Distribution tab
A student isn't seeing a follow-up item that I expect them to see. Why is that?
There are a few required steps before follow-up items will appear on the student dashboard. Please check the following:
- The After Awarding question(s) are set up in the Additional Requirements tab.
- The student is awarded in the Award & Deny tab.
- The scholarship is published using the 'Publish Award Status' button in the Distribution tab. The button will read 'Hide Award Status' if it is published. The scholarship status can also be checked from the 'Status' column in the Scholarships tab.
If the required steps have been taken, the follow-up item has been intentionally or accidentally closed by an admin user. You can confirm if a follow-up item has been closed by going to the Follow-Ups tab, entering the student's name (Last Name, First Name) into the search box, and then setting the Filter to show 'Closed' follow-up items.
Can I re-open a closed follow-up item for a student?
Closed follow-up items cannot be reopened.
A student uploaded a thank you letter and it overwrote/replaced the letter they had uploaded for another scholarship.
The thank you letter question is being shared across scholarships if updating one results in other scholarships being updated. You can create unique thank you letters for scholarships by creating a new thank you letter question with unique text.
Here are some examples:
Please write a thank you letter for Scholarship 1
Please write a thank you letter for Scholarship 2
Please write a thank you letter for Donor 1
Please write a thank you letter for Donor 2
