The Incomplete Application Auto-Reminders feature helps scholarship administrators proactively reach out to students during the application period. The system automatically sends reminders based on a schedule you set, encouraging students to return and complete their application on time.
It’s an easy way to boost engagement, increase submissions, and attract more qualified applicants – without adding to your workload.
Understanding Auto-Reminders
Once enabled, Auto-Reminders will:
Identify students who have started the general application but have not submitted it.
Send reminder emails on a schedule you configure, based on how many days have passed since a student’s last login.
Continue sending reminders throughout the application period, until a final reminder date you set (or until the system default cutoff, which is the application close date).
How to Set Up Auto-Reminders
Enable Auto-Reminders
Navigate to Emails > Compose > Auto-Notifications page and enable the [Enable Auto-Notifications] checkbox.-
Configure the Reminder Schedule
Define how many days after a student’s last login you want reminders to be sent.
For example, default schedule is:3 days after last login
7 days after last login
You can set up to three reminders.
-
Customize the Reminder Message
Personalize the subject line and body of the email students will receive.
⚠️ If you include a specific deadline or cycle information, remember to update the message before your next cycle begins! Set a Final Reminder Date
Choose the last day you want any reminders to be sent during the cycle. After this date, no additional notifications will go out for the configured cycle.
By default, the system will define the cut off date as the date when applications will be closed for the cycle in consideration.Save Your Settings
Once configured, the system will begin checking daily for students who match the criteria and sending reminders automatically.
Who Gets the Reminders?
Only students who meet all of the following criteria will receive a reminder email:
They started the general application, but not submitted it yet.
"Started" application means at least one question was answered by a student; imported-only questions do not count toward this status.-
Their last login date matches one of your configured reminder intervals (e.g., exactly 3 days ago or exactly 7 days ago).
Each day, the system identifies students whose last login matches the schedule setup (e.g., exactly 3 or 7 days ago) and sends reminders only to them.
The current date is before the final reminder date for the cycle.
Best Practices
To get the most out of this feature:
Use Auto-Reminders for ongoing nudges throughout your cycle to keep students moving forward.
Pair with a final broadcast email at the end of the cycle using the “Incomplete Applications” distribution list (article), to make a last outreach push.
💬 FAQs
Q: What happens if a student logs in again after receiving a reminder?
A: They’ll be evaluated again based on the new login date. If they still haven’t submitted and match a future reminder interval, they may receive another reminder.
Q: What if auto-reminders are enabled mid-cycle?
A: It’s a good practice to send a one-time broad outreach to all students with incomplete applications who visited your site earlier. Use the “Incomplete Applications” distribution list (article) and filter students by last login date.
