The administrative view of the application allows you to construct a series of customized questions that applicants will complete to qualify and apply for scholarship opportunities.
Customizing your application takes place under the Application tab.
There are 3 components to this screen:
- Sections- used to provide structure and organization
- Questions - the questions themselves, organized by section
- Create Question - allows you to add new questions to the application
Once you select a section of your application, you will see questions that belong to that section.
NOW clients: By default, the application includes a few general sections and common questions (for example: Date of Birth, Phone Number, and Address). These default questions are meant to give you a jump start. If you prefer not to ask any of these questions, you can simply deactivate them. To do so, expand a question that you'd like to deactivate, then select 'Deactivate Question'. The question will no longer show on your Application, but will appear under the Inactive Questions category. This is where you'll find any questions that you decided to remove from your application.
Configuring Application Sections and Questions
To update the name of a section, simply click on that section. You'll see the section name text box appear towards the right side of it. Once you click into the box, you'll be able to edit the title of the section right away. Once you're done, simply click outside of the box. This will trigger your changes to be saved automatically.
To update question text, first find the question by clicking the section name to which it belongs, then click the question itself to expand its details. Edit the text in the Question Text box. Once you're done, simply click outside of the text box to automatically save your changes.
Conditional Questions
What is a Conditional Question? A conditional question is one that only appears to students who answer a preceding question in a certain way. It helps streamline the application so that students aren't answering questions that don't apply to them.
Example: In a student's view of the application, a conditional question "Upload community service documentation that includes organization details, dates of service, hours volunteered, and activities performed." appears only if the student answers "Yes" to this question: "Have you regularly participated in community service activities?"
Configure a Conditional Question on Your Application
Let's create the above example. Click on the Application tab to access your general application. Then find the question you wish to make the "parent" question. The parent question is the one you're using to determine whether or not to display the conditional question (i.e. the "child" question):
Click on the question text to expand its details and then click the 'Manage Conditional Logic' button:
Next, you'll need to select an option you'd like to attach a question to:
Next, choose a question you'd like to display after and click the 'Save' button:
Note: The conditional question must already exist on your application in order to make it conditional. If the question you want to ask hasn't been created yet, take a step back and first add the question to your application.
Upon hitting the "Save" button, the window will update, and you'll now see the questions with a special design element to indicate the conditional relationship you've created:
To continue adding conditional questions, simply click on the "parent" question that the "child" question should be nested under and you will see the option to 'Manage Conditional Logic' again.
If you wish to undo the conditional logic, you can do so by making the conditional question "top-level." In other words, the child question returns to a state where it's no longer nested beneath a parent question, and it is placed back on the "top-level" of the application.
Click the question text of the conditional question to expand its details and click the button 'Make Top Level Question':
A warning message will appear. Confirm your action and the question will now appear alongside the others on the application.
Additional important notes:
- Only multiple choice questions support conditional questions; in other words, those where applicants choose an option from a list. Questions like file uploads, instructional text, or open-ended questions cannot have conditional questions.
- A "parent" question can have multiple "child" questions, meaning answering "Yes" to the "Have you regularly participated in community service activities?" question could trigger several conditional follow-up questions.
- Once a question has been made conditional, it is removed from its previous location on the application and now lives underneath the parent question in a conditional tree.
- Once a question has been made conditional, it cannot be made conditional elsewhere on the application as part of a different conditional logic tree. It will no longer appear in the drop-down box after being used once.
Drag and Drop to Reorder Sections and Questions
Along the left edge of sections and questions is an icon that looks like a pattern of dots (drag handle). Place your cursor over the drag handle, then click and hold to start "dragging" the question or section. This allows you to quickly and easily move things around:
By grabbing, dragging and dropping you can update the order of the questions in every section, you can move questions to other sections, and move the order of the sections that make your application.
Deactivating and Reactivating Questions and Deleting Sections
To deactivate a question: expand the question and then select the 'Deactivate Question' button.
Note: Questions that are used as qualifications for scholarships cannot be deleted from the application in the middle of an award cycle. You can only deactivate qualification question(s) or qualifying option(s) when an application is closed. If you deactivate a question that is associated with scholarship qualifications in any future cycle(s) then all the impacted scholarships will have a qualification conflict error you need to address in scholarship qualification tab.
Once you deactivate a question, it will move to the Inactive Questions section on your Application.
If you ever need to reactivate a question, simply select the Inactive Questions section, then locate and expand the question. Next, click on the 'Reactivate Question' button and choose a section you'd like to place the question to.
To remove an unwanted section from the application, you must first remove all questions from it (either by dragging them to a different section or by deactivating them).
Once the section is empty, the 'Delete Section' button will be enabled. Click the button to delete the section.
Make Questions Optional
Most questions on the application are required by default, meaning that the applicants must provide an answer in order to submit their application. If you need to make a question optional, simply expand it and uncheck the 'Required?' checkbox.
Special Sections of the Application
Qualification Questions Section: this section is where qualification questions that you create at the scholarship level will appear. To learn more about creating qualification questions, click here.
You can manipulate this section just like others by editing its name and reordering it. You can even delete it once you've moved all the qualification questions into others sections on your application. Know that if you delete it, and you later create a new qualification question on a scholarship, the section will return, at which point you can move the questions elsewhere and delete it again. Inactive Questions Section: this section is where all deactivated questions from your Application will appear (including the Budget Calculator). To clarify, this section is only visible to Administrators and not to your applicants or any other user. As mentioned above, you can re-activate any questions from this section if needed. Unlike other sections, it cannot be deleted and is there by default.
